A spare membrane can spend weeks in transit or a warehouse before anyone checks its installation documents. Agree the receiving and storage record when placing the order so an operator can establish what arrived and how it was kept. The supplier must confirm the actual shipping state and handling instructions for the ordered model. A catalog flow rating does not describe preservation or remaining storage life.
1. Define the shipment evidence before dispatch
Request exact model and SKU, quantity, serial or batch identifiers where supplied, manufacturing or packing date where available, packing list and the applicable storage instruction revision. Confirm whether the elements are shipped dry or wet and preserved; do not infer this from the family name or package appearance. For preserved products request the preservative identity, safety data, handling precautions and the supplier’s inspection and re-preservation criteria.
Keep any performance acceptance values with their complete test conditions: model, solution composition, test pressure, temperature, pH and recovery. These records concern element testing; they are separate from warehouse temperature limits and package life. For a BOKAWATER BW-8040 order, reconcile the model with SKU BK-BW-8040 on the commercial documents. Ask for shipment-specific storage instructions rather than assigning another manufacturer’s limits.
2. Record receiving condition and control exceptions
At receipt match cartons and identifiers against the order, record the arrival date, photograph external damage and note any available temperature or transport-exception evidence. Check for crushed corners, punctures, leakage, broken seals and damage to accessible protective supports. Follow the supplier’s inspection method without opening sealed element bags merely to inspect them. Opening can alter the preservation condition and should be a controlled action.
Separate suspect items from released stock and request written supplier disposition. Record the affected identifiers, observed problem, transport evidence, contact date and resolution. Do not top up an unknown preservative, reseal a damaged bag or assume a temperature excursion is acceptable. A written decision may require further inspection, testing, re-preservation or replacement; the warehouse record should show which action was actually authorized.
3. Keep a warehouse log and a release checkpoint
Assign a storage location protected as required by the confirmed instructions and monitor the specified environmental conditions. Keep packaging and supports intact, follow the supplier’s stacking rules and record moves, inspections and any power or climate-control failure. Track the next review date and relevant shelf-life or preservation deadline if supplied. Used or previously wetted elements need a separate status and an approved preservation history.
Before installation confirm that the element is released, documentation is current and package condition remains acceptable. Transfer its identifier to the vessel-position map and retain the warehouse history with commissioning records. The installer must follow the correct flushing procedure and verify the required release water quality; waste preservative and initial flush water need an approved route. This checklist supplies decision records, not a universal storage duration, chemical recipe or compatibility approval.
Data to collect before comparing proposals

| Identity | Model, SKU, quantity and batch or serial | Order reconciled |
| Shipping state | Dry or wet/preserved confirmation | Correct instructions assigned |
| Preservative | Identity and safety information if applicable | Handling understood |
| Test evidence | Model and complete test conditions | Ratings remain qualified |
| Receipt | Date, photos, seals and transport exceptions | Accepted or held |
| Storage | Location, conditions and approved stacking | Instructions met |
| Inspection | Date, finding and next review | Deadline tracked |
| Exception | Identifiers and written supplier disposition | Action authorized |
| Installation | Release signature and vessel position | Traceability transferred |
| Start-up | Flush procedure, water checks and waste route | Operator authorizes use |
